Challenge

As a leading provider of training services, the company faced a daunting challenge – efficiently managing job details across a vast and geographically dispersed workforce. With over 100 training employees in each region, coordinating assignments, tracking progress, and ensuring timely completion became an intricate logistic puzzle. But that's not all; purchasing individual FieldAx licenses for each technician at $35 per user was simply not feasible within the budget constraints.

In the Atlanta branch alone, 125 training technicians are responsible for on-site installations and repairs for clients across the metropolitan area. Manually tracking job details, technician schedules, and project statuses for such a large team quickly became unsettling. Furthermore, with the potential cost of acquiring 125 FieldAx licenses amounting to a staggering $4,375, the company was forced to explore alternative solutions that could streamline operations without breaking the bank. To sum it up, there were two main problems to solve:

  • Workforce Challenge. The company faced a monumental logistical challenge with a substantial workforce: over 1,500 technicians across 25 states.

  • Cost Concerns. Equipping every training technician with the software would have resulted in a staggering expense, straining the company's budget.

Solution

In response to these challenges, FieldAx and Skyvia proposed a strategic approach. Instead of purchasing individual licenses for trainees, the company imported installation details into a local database (MySQL) by submitting a form. Once the data was imported, Skyvia seamlessly synchronized it with the FieldAx software's corresponding fields, such as technician names, job numbers, and job statuses.

Data Loading

The implementation of this solution unfolded in several stages:

  1. Training technicians were provided a form to input job details, including task descriptions, customer information, and relevant notes or comments. This form served as the primary data collection point, streamlining the process and ensuring consistency.

  2. Centralized data orchestration. The submitted data was automatically imported into a local MySQL database, acting as a centralized repository for job-related information. This step eliminated the need for manual data entry and reduced the risk of errors.

  3. Seamless synchronization. Once the data was stored in the local database, Skyvia's powerful integration capabilities came into play. As our product FieldAx runs on the Salesforce platform, we utilize the Salesforce connector to map the data fields from the local database to the corresponding fields in the FieldAx software. This ensured that job details were accurately and efficiently transferred to the FieldAx platform, providing a comprehensive view of ongoing projects and their statuses. This ensured that job details were accurately and efficiently transferred to the FieldAx platform, providing a comprehensive view of ongoing projects and their statuses.

  4. While training technicians did not require direct access to FieldAx, the company purchased licenses for management personnel. This strategic allocation of resources allowed managers to oversee job progress, assign tasks, and track key performance indicators (KPIs) within the FieldAx environment, leveraging the platform's robust reporting and analytics capabilities.

By adopting this solution, the company made a significant cost-saving move. They could afford to purchase FieldAx licenses for management users while avoiding unnecessary expenses for their training technicians. This approach optimized workflows and ensured compliance with data privacy and security regulations, as sensitive information remained within the company's controlled environment.
