Meanwhile, HR manages employee data and requests through separate HR-specific software. This disconnection often results in bottlenecks, overlooked tasks, and limited visibility into the status of employee-related requests.

The Skyvia integration platform provides a comprehensive solution to address the scattered data challenges faced by organizations. By connecting Zammad with HR tools such as Greenhouse or Personio, Skyvia ensures seamless integration through one-way or bi-directional data synchronization. This allows real-time updates between HR and IT departments, streamlining processes like employee onboarding and system access management.

In Zammad, specific configurations are made to support this integration:

  1. User-level attributes in Zammad are created to facilitate API calls from the HR system, ensuring up-to-date synchronization of employee data like roles and permissions.
  2. Ticket-level attributes in Zammad are configured to classify cases and receive case-specific updates from backend systems. This ensures that tickets in Zammad are automatically updated with relevant information as workflows progress.

General Process Design

  • HR Department Action: The HR team updates the HR tool with candidate and job-related information such as activation date, job profile, and cost center.
  • User Creation in Zammad: A new user in Zammad is automatically created with all relevant employee-centric information (e.g., roles and permissions) pulled from the HR tool via API synchronization.
  • Ticket Creation and Assignment: Based on the data from the HR tool, tickets are generated and assigned within Zammad. These tickets include all necessary case-related details, such as onboarding tasks or system access requests.
  • Ticket Processing and Categorization: The assigned tickets are processed and categorized by dedicated teams or groups, ensuring that each case is handled properly.
  • Automated Syncing: Triggers and schedulers in Zammad initiate webhooks and API calls to synchronize data between Zammad and other backend systems (HR tools, ERP systems) as needed.
  • Ticket Closure and Notifications: When a ticket is marked as "closed", notifications are sent to the necessary stakeholders (HR tool, users via Slack/Teams, ERP, approvers, etc.) to update them on the progress.
  • HR Tool Update: Once technical onboarding is complete, the HR tool is updated with a note indicating that the process has been finished (e.g., "Technical Onboarding finished").
