MovingWorlds, an award-winning social enterprise, connects global social innovators with skilled corporate volunteers to drive measurable social impact. As the organization grew, its operational complexity increased dramatically. With a small technical team and a growing global user base, the company relied on multiple systems to manage its workflows - a custom-built web application, Zoho CRM, Zendesk for support, Mailchimp for marketing, and Streak for Gmail-based CRM operations.
The web app served as the front-end for organizations and volunteers to register, submit projects, and track progress. However, maintaining data consistency between the app and Zoho CRM became increasingly difficult. Every registration, project submission, or update had to flow seamlessly across platforms to trigger onboarding, email sequences, and reporting - but manual syncing led to data discrepancies and workflow delays.
Additionally, the team faced major constraints:
- Limited engineering capacity: only one or two developers managing a growing data ecosystem.
- Expensive alternatives: platforms like Salesforce offered CRM-based community tools but were prohibitively costly.
- Fragmented systems: real-time insights were nearly impossible due to data being split across several platforms.
